At Leadbird, effective inbox management is key to successfully managing cold email campaigns for our clients. Here’s a comprehensive overview of how we handle replies, categorize leads, and take action based on responses.
When we receive a reply from a lead, our first step is to analyze the response and update the lead status. This categorization helps us determine the appropriate next action, which can be either manual or automated.
Most Common Replies We Get From Our Cold Email Campaigns
We categorize replies into several types to streamline our follow-up process:
Information Request - someone requesting more information
Example: “Can you send me more information”
Power (Meeting Request) - someone showing direct interest and is potentially looking to schedule a call
Example: “I’d be interested and would like to meet”
Future Request - someone requesting for us to reach out a later time
Example: “Please reach back out in Q4”
Referral Request - someone requesting that we reach out to someone else in another department
Example: “This seems interesting - can you reach out to Billy Bob Joe”
Auto Reply - someone giving us an automatic reply once we’ve sent them an email
Example: “Please direct all inquiries to support@domain.com”
No Longer Works Here - we get an automatic reply indicating that they no longer work at the company
Example: “As of 12/23, I’ve departed from the company. Please send all inquiries to Joe”
Unsubscribe Request - someone requesting that we don’t reach back to them or is showing signs of aggression
Example: “Please take me off your list.”
Not Interested - someone who is politely declining us
Example: “This isn’t for us.”
Positive Custom Reply - someone who is showing interest and doesn’t fit into the subsequence category and requires a custom reply
Example: “This sounds great. Can you send me more information? Also, how did you get my email?”
Reviewal (Sent To Client) - someone who is asking for information that only the client can answer
Example: “This sounds great. Can you send me more information? Also, do you integrate with Hubspot? and are you SOC2 Compliant?”
Out of Office - an automatic reply letting us know that they’re out of office
Example: “I’m currently away from my desk and will be back on Thursday.”
Meeting-Ready-Lead - a person showing interest and wants to coordinate a time to speak
Example: “This sounds great. I’m available later this week to speak further”
Our structured inbox management process at Leadbird ensures that each lead is handled efficiently and appropriately, maximizing engagement and conversion rates.
